Applies to the Invu Admin Panel and the automatic "End of Day Sales Report" email. Labels are shown as they appear when the panel and the email are in English.
Most important:
- The email is sent once a day, about 2 hours after the Business Closing Time, with that business day's sales. It does not depend on closing the shift on the POS.
- It goes to every panel user with the Send End of Day Report box checked, at that user's Email.
- You can change or add recipients yourself in Settings > Users and Roles > Users, if your user has permission to manage users.
1. What the email includes
- Subject: "End of Day Sales Report - " and the branch name. Sender: INVU, no-reply@invumail.com.
- Body (END OF DAY REPORT):
- Total Sold for the day and for the same weekday of the previous week;
- Order Details: number of orders, average ticket, subtotal, discounts and taxes;
- guests, month projection and Monthly Summary;
- Sales by Employee, Sales by Payment Methods, Sales by Payment Types, Top 10 Items Sold and Sales by Register;
- Daily costs and margin, if your items have a cost.
- PDF attachments: sales by category and discounts. Also the sales by branch report if the account has several branches, and recipe usage if sales moved inventory.
- It uses server data from all registers of the branch, for the whole business day. Total Sold does not include tips; Gross Monthly Accumulated does.
- It arrives in the language set for the branch (Spanish or English).
Today you cannot choose which sections the email has or get a report of specific items by email. For that, use Reports 2.1 in the panel and export to Excel or PDF (see "How to find and use the reports in the Admin Panel").
2. When it arrives
- The business day ends at the Business Closing Time? setting (Settings > System > Settings > Schedule). The email goes out about 2 hours later, on the hour. For example, with a 3:00 a.m. close, it arrives around 5:00 a.m.
- The time is calculated with Panama time. In countries with another time zone it can arrive one hour earlier or later.
- It is sent even if you did not close the shift or count the register on the POS.
3. Add, remove or change who receives it
You need a panel user with permission to manage users (usually the administrator).
- Go to Settings > Users and Roles > Users.
- Open the user and edit it.
- Check the Email: the report goes there.
- Check Send End of Day Report so the user receives it, or uncheck it to stop it.
- Check that Status is Active and that User to Branch is the branch you want the report for.
- Save.
- To add another email, create a new user with that email and check Send End of Day Report. If that person should not use the panel, set Allowed to Login on Invu Admin? to No; they still receive the email.
- Several branches: each user receives the report of the branch in User to Branch. To receive several, you need one user per branch.
- If you edit your own profile from your user menu, the box is locked. Ask an administrator.
- The change applies from the next send.
4. The email does not arrive
Check in this order:
- Spam or junk: search by the subject "End of Day Sales Report" (or "Reporte de ventas" if the branch is in Spanish) and add no-reply@invumail.com to your contacts.
- The user's email: that it is spelled right on the panel user.
- The box: that Send End of Day Report is checked and the user is Active.
- The Business Closing Time: it must be set. If you changed it, the email goes out at the new time.
- The account: if the branch is inactive or suspended, it is not sent.
- Company email: some company mail servers block automatic emails. Ask your email provider to allow the sender.
5. It arrives without attachment, arrives twice or does not match the close
- No attachment: the PDFs are built at send time. If one fails, the email goes without that PDF; if all fail, the system retries. The data is in Reports 2.1 (Categories and Discounts). If it happens several days in a row, contact us.
- Arrives twice: two users have the box checked with the same email, or the email is on users of two branches (look at the branch name in the subject). Uncheck the box on one of the users.
- Does not match the POS close:
- the email adds all registers and the whole day. Compare it with the Long Report with All day and All Cashiers, or with the panel's Report Z for the same day with no times;
- orders a device uploaded after the send (because it was offline) are not in the email, but do show in the panel later;
- changes made in the panel after the send are not in it either.
To find the difference, see "Reports do not match (long report, short report, Report Z, Admin Panel, Invu Report) - how to find the order causing the difference".
6. When to contact support
Contact us if you checked section 4 and it still does not arrive after two days, or if it arrives without attachments several days in a row. Send:
- the branch name;
- the email that should receive it and the panel user that has it;
- the date that did not arrive;
- if it arrived, a screenshot of the email.
