How to find and use the reports in the Admin Panel

Applies to the Invu Admin Panel. Labels are shown as they appear when the panel is in English. For the register close and the POS long report, see "Close the register and print the long report (shift close) on the POS".

1. Where the reports are

  1. Open the Admin Panel and the Reports side menu.
  2. It opens on the Reports 2.1 tab, which is the report menu. The other tabs on that page are Closed Orders, Credit Notes, Order Movements and Order Logs (section 5).
  • If you do not see the Reports menu, ask an administrator to add the Reports permission to your role.
  • Reports are for the branch currently active in the panel. If you manage several, check which one you are in before searching.

2. Find a report

In Reports 2.1, reports are grouped by section: Accounting, Orders Movements, Finance, Taxes, Inventory, Special, Total Sales, Sales and General (plus Franchises on central franchise accounts).

  • Use the search box (shortcut ⌘K on Mac or Ctrl+K) to find a report by name; its placeholder is always in Spanish ("Buscar reportes...").
  • Tap a report's star to save it in Favorites, which appears at the top.
  • New reports carry the NEW label.

Most used reports

Report (section)What it shows
Report Z (Accounting)Sales, collections and reconciliation for all registers in the range, with a Charts button. It is not the fiscal printer's Z report.
By Register (Total Sales)One row per register where orders were closed: subtotal, discounts, tax, tips, total and payment methods. The + opens the detail.
By Payment Type (Total Sales)Total per payment type, with tabs by hour, day of month, week of year, day of week and month.
Categories (Sales)Sales per category: quantity, gross sales, discounts, net sales, cost and gain.
By Item or Product Mix (Sales)Sales per product: quantity sold, gross and net subtotal, discounts.
Tip per Order (Finance)Each order's tip with its payment method. For the total per server, use Tip per Employee.
Discounts (Sales)Each discount applied, how many orders and the amount discounted.
Deleted Orders (Orders Movements)Deleted orders, who deleted them and when. The Description checkbox shows the reason.
Closed Orders (Sales)Order-by-order list. Includes credit notes as negative amounts.
Long Report Logs (Orders Movements)Every long report printed on the POS with a shift close.

Some reports only appear for certain countries or businesses: DGI 1027 (Panama), Galac and Billing (Colombia and Venezuela), Item comandado VS vendido (Venezuela) and the cinema reports.

3. Choose dates and times

  1. Enter Start Date and End Date and tap Search, or tap a shortcut: Today, Yesterday, Week, Last Week, Month or Last Month (the shortcut searches right away).
  2. Leave Start time and End time empty to see full business days. The business day ends at the Business Closing Time set under Settings > System > Settings > Schedule. Only enter times if you want an exact range.

New filters (in sales reports, not in Report Z):

  • By time of day: applies the start and end time to each day in the range; for example, 12:00 to 15:00 every day.
  • Period: choose a service period (breakfast, lunch, dinner). It only appears if you created them under Settings > System > Service periods.
  • Order time: sets whether the time window or period is measured with the order's Close time (default) or Open time.

4. Work with the table and export

  • Sort: click the column header. Filter: use the column's filter icon.
  • Group: drag a column to the Drag a column here to group bar.
  • Export: Excel, PDF, Copy and Print buttons. Report Z also has CSV, PDF ADV. and Excel ADV.
  • Detail: in many reports, each row's + button opens the breakdown. In order reports, the actions column offers Detail and Ticket (these labels are shown in Spanish).

5. The panel tabs

TabWhat it is for
Closed OrdersFind a specific order with Advanced Search (the order number searches all dates). The pencil lets you fix the payment method or type of a closed order (Update Payment Methods); the amount cannot be changed.
Credit NotesSee full and partial credit notes.
Order MovementsSee open orders and deleted orders.
Order LogsSee what was done on each order (items added or removed, discounts, payments, table changes…), who did it and who authorized it, with Export to Excel.
  • These tabs use calendar days (00:00 to 23:59) and, when you open them, only show the last few days. That is why they may not match Reports 2.1.
  • Deleting a closed order or a credit note, or closing an open order from these tabs requires an internal password. If you need it, write to us.

6. If panel totals do not match the POS

Check in this order:

  1. Filter times: leave them empty to use the same business day as the POS.
  2. Same scope: the panel's Report Z adds up all registers for the day. Compare it with the POS long report using All Cashiers and All day; Current Cashier or a With Close Shift report only shows part of it.
  3. Orders not uploaded yet: the POS calculates with the device's data and the panel with the server's. Before a report the POS uploads missing orders (Recovering closed orders); if a device was offline, wait until it syncs.
  4. Changes made in the panel: closing, deleting or changing payments of an order from the panel changes the day's totals.
  5. Panel tabs: they use calendar days, not the business day.
  6. Credit notes: in Reports 2.1 Closed Orders they subtract (they show as negative); in the Closed Orders tab they do not appear.
