Menu items - create them, change prices and taxes, and see them on the POS

Created by Gerencia Invupos, Modified on Fri, 30 Oct at 9:49 AM by Ana V Rodriguez

Applies to the Invu Admin Panel (Menu menu) and Invu POS 6.10.1. Labels are shown as they appear when the panel and the POS are in English. In Retail businesses, items are under Inventory > Items. For modifiers, see "Modifiers - create, assign and use items as options".

1. Create an item

  1. Go to Menu > Menu and tap Create Item.
  2. Enter the Name (it cannot repeat) and leave the Code empty so it is generated automatically.
  3. Choose the Item SubCategory. It must be active and, to get its own tab on the POS, belong to an active Category.
  4. Leave Item type as Normal, unless you sell gift cards, payments on account or other special types.
  5. Enter the Sale Price.
  6. Choose the tax (see section 2).
  7. Under visibility, leave Status as Active and Visible on POS as Show. The Order field sets its position on the POS screen.
  8. Tap Create Item.
  9. For it to print on the kitchen ticket, assign it a printer (Printers tab > Add Printer), unless its subcategory already has one.

Other prices:

  • Price by order type (for example, delivery): use Add multiple prices by order type and pick the Order Type on each row. For that order type, the POS charges that price.
  • Promotion Price: the POS always charges it while it is above 0 and below the Sale Price; it has no dates. Leave it empty unless it is a permanent promotion.
  • Open Price?: the POS asks for the price when selling, with the PIN of an employee allowed to enter open prices.

2. Tax: added or included

Each item sets whether its tax is added to the price or is already included. Choose only one of these:

If…Do thisOn the POS (price 10.00, tax 7%)
The tax is added to the priceChoose the tax in Item Tax and leave Tax applied on item? offCharges 10.70
The price already includes the taxTurn on Tax applied on item? and choose the tax in Select Tax to Apply, the selector that appears belowCharges 10.00 (9.35 + 0.65 tax)

Watch out: when you turn on Tax applied on item?, the Item Tax selector is disabled and the tax is taken from the second selector, Select Tax to Apply, which starts at exempt. If you do not change it, the item ends up with no tax. In the item list, an included tax shows as "7% Incluido".

  • A tax set on a Subcategory is not applied to its items: set it on each item, in the list or by Excel.
  • A tax's percentage cannot be changed after it is created. For a different rate, create a new tax under Settings > Payment, Discount & Taxes > Taxes and assign it to the items.
  • If a cash register has Allow to collect taxes? turned off (in the register form), its orders have no taxes.
  • Mexico: an item with IEPS and VAT included calculates IEPS first and then VAT. Peru: the consumption surcharge (Recargo al consumo) is set per item under the fiscal attributes section.

3. Change prices

  • One or a few: in the Menu list, tap the price and type it (you need list-editing permission), or open the item and change the Sale Price.
  • Many: in the list, open More (⋮) > Export Items. In the Excel file change the Sale Price column (do not delete Code or use formulas). Then go to the mass import/export button > Items import > Upload File. The import updates items by their code and emails you when it finishes.
  • Franchises: use Franchises > Actual Prices or Mass Price Update.
  • Orders that were already open keep the old price. When you change the order type of an open order, the POS can offer to apply the new prices (it asks for a PIN and confirmation).

4. Get the change onto the POS

  1. If you see the Pending Changes icon with a number at the top of the panel, your business uses the Publish Center: open it and tap Publish Now.
  2. On each device, press and hold the Invu logo and choose Update Data (it asks for the PIN of an employee with the Can Update Data on iPad permission).

Closing and reopening the app, or logging out and back in, does not update the menu.

5. If an item does not appear on the POS

Check in this order:

  1. Status is Active (inactive items do not reach the POS; also check the Archived view of the list).
  2. Visible on POS is Show. With Not Show it is not in the menu or the search, although the barcode scanner still finds it.
  3. The subcategory is active (if it is inactive, the item is in no tab but search finds it) and has an active Category (otherwise it shows in the Without Category tab).
  4. If the register has assigned items (in the cash register list), that register only shows those items.
  5. If the item has a red padlock, it is locked: on the POS, System Reports > Locked menu > Locked Items > Unlock.
  6. Pending changes in the Publish Center, or Update Data was not run on that device.

The order type and role categories do not hide items.

6. Categories and subcategories

  • First create the Category under Menu > Categories > Create Category (name and order). It is the top row of tabs on the POS.
  • Then create the Subcategory under Menu > Sub Categories > Create Subcategory, with its Category and order. It is the second row of tabs.
  • Items are assigned to the Subcategory.
  • On the printers screen, Assign Categories actually assigns subcategories: the kitchen ticket goes to the printers of the item's subcategory and of the item itself.

Common problems

  • "Item name is already in use" (may show in Spanish). An item with that name already exists (it may be Archived): change the name or reactivate the existing one.
  • "Item code is already in use" (may show in Spanish). Leave the code empty so it is generated.
  • I cannot change the name or code ("Has sales - read only"). The item already has sales.
  • The POS charges more than the panel price. The tax is being added. If your price already includes it, turn on Tax applied on item? and choose the tax in Select Tax to Apply.
  • The item ended up with no tax. You turned on Tax applied on item? without choosing the tax in Select Tax to Apply.
  • The POS charges a different price. Check the promotion price, the price by order type, whether the order was opened before the change, active Promotions and the Sale Rounding option, which rounds prices to whole numbers.
  • Tapping the item asks for a quantity. The item has Ask automatic amount? turned on.
  • Import errors (a required field is missing, the item category code was not found). Check the Excel file: Category Code must be the code of an active subcategory, and required columns cannot be empty (use 0).
