Currencies - change the POS currency, charge in two currencies and update the exchange rate

Created by Gerencia Invupos, Modified on Fri, 30 Oct at 9:51 AM by Ana V Rodriguez

Applies to the Admin Panel and Invu POS 6.10.1. Labels are shown as they appear when the panel and the POS are in English.

Most important:

  • The currency is chosen in Settings > System > Settings, Currencies section.
  • Changing the currency converts nothing: prices keep the same numbers with the new symbol. Past orders and reports are not converted either.
  • After any change, run Update Data on each device.

1. Change the main currency

  1. Before: charge or close the open orders and run Close Register on each register. If you change the currency with the register open, the earlier cash may show as a gap.
  2. If the currency is not in the list, create it in Settings > Payment, Discount & Taxes > Currencies > Create Currency:
    • Currency Name: the cashier sees it (for example, "Dollars").
    • Currency Description: it is what shows in the Settings list.
    • Currency Symbol: up to 5 characters.
    • Currency Type: the currency code (for example, US Dollar).
  3. On that currency, tap the $ icon and create its denominations (section 3).
  4. Go to Settings > System > Settings, tap Enable Save Button and, in the Currencies section, choose the new Currency. Tap Save Changes.
  5. If prices must change, edit them: one by one or with Export Items and Items import (see "Menu items - create them, change prices and taxes, and see them on the POS").
  6. Check the Currency field of your Payment Types.
  7. If you see Pending Changes at the top, tap Publish Now. Then, on each device, press and hold the Invu logo and choose Update Data.

On the POS, the symbol, the currency name and the bills for counting the register change. The POS always shows 2 decimals.

Electronic invoice: in Costa Rica, Guatemala, the Dominican Republic, Peru and Venezuela, the main currency changes the currency declared on the invoice. Confirm with your invoicing provider before changing it. In Panama, El Salvador, Mexico and Colombia the invoice always uses the country's currency.

2. Charge in two currencies

  1. In Settings > Currencies, choose the Secondary Currency and enter the Currency Conversion: how many units of the secondary currency equal 1 of the main one, with a decimal point. For example, with dollars as the main currency and bolivars as the secondary one at 36.50, $10.00 equals Bs 365.00. Save.
  2. Create the secondary currency's denominations. Without them, the register has nowhere to count it.
  3. Create a Cash payment type for each currency, with its Currency (for example, "Cash $" with the main one and "Cash Bs" with the secondary one). That way each currency's cash is counted separately in the register.
  4. Run Update Data on each device.

On the POS:

  • The order also shows the total in the secondary currency.
  • In Amount Payable, choose the currency first in the Currency box and then type the amount.
  • Amounts are always stored in the main currency.
  • For change, the POS asks "Select an option for the change": Select Payment, Cash (taken from the order's cash payments, in their own currency) or, in restaurants, Change as a tip.
  • To add or withdraw cash, choose the currency.

Remove the secondary currency: in Settings > Currencies, set Secondary Currency to "- Select -", save and run Update Data. Do not delete from the catalog a currency that is set as secondary: remove it from Settings first.

3. Denominations (bills and coins for counting the register)

  1. In Settings > Payment, Discount & Taxes > Currencies, tap the currency's $ icon.
  2. Tap Create Denomination and fill in the Description (for example, "20 bill"), the value in the Amount field (20) and the Status Active.
  3. Run Update Data on each device.
  • Only active denominations show when opening and closing the register.
  • To stop using one, archive it instead of deleting it.

4. Change the exchange rate

From the POS:

  1. Press and hold the Invu logo and choose Change Local Currency Rate.
  2. Type the rate and tap Accept. The keypad uses 4 decimals: for 36.50, type 3-6-5-0-0-0.
  3. Check the rate on the main screen ("Currency exchange"). On the other devices, run Update Data.
  • The option shows if there is a secondary currency and the employee with the open session has the Allow Updating Local Conversion Currency permission in their POS role.
  • It needs internet. If it fails, the rate does not change and the POS shows no message: check it after changing it.

From the panel: change Currency Conversion in Settings > Currencies and save. In franchises, the central account can tick the branches in Replicar tasa de cambio a sucursales (shown in Spanish). Then run Update Data on each device.

Open orders: their total stays in the main currency. The secondary-currency equivalent is recalculated with the new rate, and the order keeps the rate in effect when it closes.

History: Reports > Reports 2.1 > Finance > Currency Exchange shows the changes made from the POS: New Rate, Current Rate (the previous rate), date and employee. Changes made in the panel do not show there.

5. Venezuela

  • The BCV rate is entered by hand: the system does not download it.
  • A payment type with International Payment adds the 3% IGTF to what is paid with that type.
  • Venezuelan card terminals charge the amount converted with the rate.
  • Without a rate, the electronic invoice is not issued: "The exchange rate is not configured".

Common problems

  • I changed the currency and prices are the same. Changing the currency does not convert prices: edit them.
  • The POS still shows the old symbol. Update Data is missing on that device.
  • I want 0 decimals (for example, pesos without cents). The POS always shows 2 decimals.
  • "The selected currency for this account cannot be deleted." It is the main currency: change the main currency before deleting it.
  • "At least one currency must be registered in the system." It is the last currency: create another one first.
  • The POS shows the same numbers in both currencies. The rate is 0 or empty. Enter the Currency Conversion and run Update Data.
  • I do not see "Change Local Currency Rate". There is no secondary currency, or the employee with the open session does not have the permission.
  • One device has a different rate. Run Update Data on that device.
  • The secondary currency does not show when opening or closing the register. It has no active denominations.
  • Closing the register asks for a gap reason even though I counted correctly. The secondary currency's cash has nowhere to be counted (no denominations), it was charged in the secondary currency with a main-currency payment type, or the currency was changed with the register open.
  • "No payments of cash type" when giving change. The order has no cash payments: choose Select Payment.
  • The POS stopped updating after deleting a currency. The currency set as secondary was deleted. In Settings > Currencies, choose another Secondary Currency or "- Select -", save and run Update Data.
  • I saved a currency or denomination and it does not show. It is pending in the Publish Center: tap Publish Now and run Update Data.
