iPad Roles

These are the various tasks and functions assigned to application users. These roles are fundamental as they determine which sections and features of Invu POS are available to each user in the system. In other words, they establish who can access what in the application and define each user's responsibilities based on their specific role. This ensures that each user has access only to the information and capabilities necessary to perform their function in the system efficiently and securely.




Manage Roles

From here, you can configure and control the functions and responsibilities of users within the application according to their specific roles in the business. This is done to ensure that each user has the appropriate level of access and authorization to perform their tasks efficiently and securely.


SegmentDescription
NumberAs roles are created, they are loaded in descending numerical order. In this field, you can see the order in which the selected role was created. This field is set by the system by default and remains fixed.
NameHere, the selected title for the Role is displayed. This field can be quickly modified by selecting the previously established name; a window will open where you can assign the new name. This modification will not affect any other information of the role.
DescriptionIn this field, the permissions assigned to the corresponding role are displayed, or the information provided in this field. This information can be modified by selecting the text, similar to the Name. Note: The first four roles are preset in the system, therefore the description is fixed. They can be used as an example to create future descriptions.
ActionsThese are the actions that facilitate the assignment and modification of permissions assigned to each of the roles.
Assign PermissionsThis command redirects you to the list of permissions, so you can assign them to the specific role.
Assign CategoriesThis command redirects you to the list of categories, so you can assign them to the specific role.
Update

This icon redirects you to the screen where the Role was created, so you can make general modifications.

ViewThis icon redirects you to a screen where you can see all the information of the Role in a general manner.
ExportRoles can be downloaded in bulk for easy information review. The available formats are: XLS, XLSX, HTML, PDF, and WORD.



Create Roles 

This section involves defining and establishing new functions or user categories within the system. Each role represents a set of specific responsibilities and permissions that determine what a user can do within the application.


SegmentDescription
NameHere, the selected title for the Role is established in the system.
DescriptionIn this field, the necessary information for the correct administration of the role is entered. This information may include the number of permissions assigned to this role, among other details.
Number of allowed pre-checks to print

This option allows limiting the number of pre-checks allowed to print, considering that the minimum value is "-1," which means in the system: Unlimited, or a maximum of 10. Note: This value is specifically linked to the "Print Pre-check" option, which allows the Role to print the report or not.

CreateOnce all the requested information is completed (taking into account that fields with * are mandatory), press Create, and the information is automatically saved, and the Role is created.



View Report by Roles

In this section of the application, a graphical representation is provided that highlights and clarifies the permissions associated with different roles on the iPad, indicating clearly and in detail which roles have access to certain functions and which do not.



Manage Permissions

From here, specific authorizations that determine which actions and functions can be performed within the application can be controlled and configured. These permissions define who has access to which functions and sections in the system, and they are customized for each role.

Available Options
In this section, all permissions available to assign to a defined role are listed. From here, permissions can be selected by clicking on them, and using the ">" arrow, one permission can be sent, or using the ">>" arrows, multiple or all permissions can be sent in bulk.
Selected Options
In this section, only the permissions assigned to the defined role are displayed. From here, permissions can be reduced by clicking on them with the "<" arrow, returning them to the previous list, or using the "<<" arrows to remove all assigned permissions.
Save
Once permissions have been assigned to the role, click save to exit this section.



Permissions

These refer to specific authorizations or rights granted based on roles within the application. They determine which functions, features, and data of the application this role can access and utilize.

Print Report X
With this permission, you can print a report of type X from the iPad.
Print Report Z
With this permission, you can print a report of type Z from the iPad.
Open Cash Drawer
With this permission, you can open the cash drawer connected to the iPad.
Record Initial Cash and Withdrawals
With this permission, you can record the initial cash amount in the cash register at the beginning of the shift, as well as any cash withdrawals made during or at the end of the shift.
Change Payment Drawer
With this permission, you can change the payment drawer being used.
Delete Item
With this permission, you can delete items from the sales record.
Add Discount to Items Individually
This permission allows applying discounts to items in an order individually.
Add Global Discount to Order
This permission allows applying discounts that affect the entire order globally.
Delete Order
With this permission, you can completely delete a sales order.
Create Credit Note
This permission authorizes generating credit notes on the iPad.
View Total Sales for the Day
With this permission, you can access the summary of total sales made on the day.
Add Order
With this permission, you can create new sales orders on the iPad.
Add Customer
With this permission, you can register or associate customers with sales orders.
Delete Payments
This permission authorizes the withdrawal of payments made on a sales order.
Send Command when Closing
With this permission, you can send the order to the kitchen or food preparation area when closing an order.
Send Pre-check when Closing
Similar to the previous permission, this one allows sending a pre-check to the specific area when closing an order.
Add Tips to Orders
This permission authorizes adding tips to sales orders.
Add Discount to Items Individually
This permission authorizes granting discounts to specific items in a transaction.
Edit Orders from Other Employees
This permission authorizes editing sales orders created by other employees.
Edit Consecutive Number in Orders
With this permission, you can edit the consecutive number in an order.
Allow Applying Payment Methods
With this permission, you can apply different payment methods to sales orders.
Delete if an item has already been ordered
With this permission, you can delete an item from an order after the order has already been sent to the kitchen or food preparation area.
View Available Money in Cash Register
With this permission, you can see the amount of money available in the cash register.
Print Pre-check
With this permission, you can print a pre-check of the order before the final invoice.
Can Open Cash Register
With this permission, you can open the cash register.
View Discounts
This permission authorizes viewing the discounts applied to orders.
Can Update Data on iPad
With this permission, you can update information in the application.
Modify Orders that are not created by the user
This permission allows editing orders established in the system by another user.
Can Move an Order Item
With this permission, you can change the location of an item in an order.
View only orders managed by their user
This permission restricts viewing only orders that they themselves have created or managed.
Process Purchase Orders
This permission authorizes processing purchase orders used in acquiring supplies.
Create Purchase Orders
With this permission, you can create new purchase orders on the iPad.
Create Wastage
With this permission, you can create wastage on the iPad.
Create Inventory Counts
With this permission, you can create inventory count records to keep precise track of product stocks.
Process Requisitions
With this permission, you can process product requisitions.
Can Modify Orders after Closed
With this permission, you can make modifications to sales orders after they have been closed.
Can assign commissions
By granting this permission, you are authorized to assign commissions to employees or other recipients based on sales or transactions made.
Can Print Long Report
With this permission, you can print detailed reports that provide a more comprehensive view of transactions.
Can Print Short Report
With this permission, you can print more concise summary reports of transactions and key data.
Can add decimals in item quantity
With this permission, you can enter quantities with decimals when registering items in an order.
Can Print Z Report with Pending Invoices
With this permission, you can print the Z report even with pending invoices for payment.
Adjust Tip after Closing the Order
With this permission, you can make adjustments to tips after closing an order.
Allows modifying the order type in the cash register
With this permission, you can change the order type in the cash register.
Allows New Order and Order Type Buttons
Allows access to the buttons to create a new order and those for different types of orders.
Allows opening an order regardless of whether it is already open on another iPad
With this permission, you can open an order on the iPad, even if it is already open on another device.
Allows Splitting the Bill when the order has a discount
With this permission, you can split the bill for an order in case a discount is applied.
Allows Reprinting Printed Commands
This permission authorizes reprinting commands that have already been printed.
Allows Printing Z with Open Orders on iPad
With this permission, you can print a Z report even if there are open orders on the iPad.
Allows Viewing iPad Payment Button
With this permission, you can view the payment button on the iPad.
Allows Updating the Local Currency Conversion Rate
With this permission, you can update the local currency conversion rate.
Allows closing all orders from a personal account
With this permission, you can close all orders from a personal account.
Allows Adding Fiscal Invoice Number
With this permission, you can enter or register the fiscal invoice number in transactions.
Allows viewing closed orders on the iPad
This permission grants the ability to view orders that have been completed on the iPad.
Allows creating new customers on the iPad
With this permission, you can create new customer records directly from the iPad.
Allows making deposits on the iPad
This permission authorizes making deposits into the system via the iPad.
Allows Deleting Item after Printing in Pre-check
With this permission, you can delete items from an order after the pre-check has been printed.
Allows splitting bills on the iPad
With this permission, you can split the bill from the iPad.
Allows moving an order from one table to another
This permission authorizes changing the location of an order from one table to another in the system.
Allows changing the tip employee
With this permission, you can change the designated employee to receive tips in a transaction.
Allows printing pre-check if there are pending items to be ordered on the order
With this permission, you can print a pre-check that includes pending items to be ordered on an order.
Allows deleting tax on open orders
This permission authorizes deleting taxes applied to orders that are still open.
Allows new order with another order type
With this permission, you can create a new order with a different type than the one usually used.
Allows printing quotations
With this permission, you can print quotations for customers.
Allows editing quantity after ordering
This permission authorizes modifying the quantity of items in an order after it has been sent for command to the kitchen or food preparation area.
Activates command for pre-check
With this permission, you can enable the command for a pre-check, which involves orders being placed before customers receive the final invoice.
Allows temporarily blocking items from the iPad
With this permission, certain items in the system can be temporarily blocked using the iPad.
Allows editing printers from iPad
With this permission, adjustments or changes in printer settings can be made directly from the iPad.
Allows users to enter an open price for items that have the function activated
With this permission, a customized price can be entered for products with this function enabled.
Allows editing the order before commanding
With this permission, modifications can be made to the order before sending it.
Allows selecting an employee based on the saved list
This permission authorizes selecting an existing employee from the predefined list.
Allows deleting an order when it is empty
With this permission, you can delete an order that does not have any registered items.
Allows changing the waiter for an orderWith this permission, you can change the assigned waiter for an order.



Managing Categories by Roles

This involves configuring product categories in the application, which means controlling which categories are available for different roles. This allows for adapting access to functions according to the needs and responsibilities of each role.

Visible on the iPad
In this section, all product categories are listed for assignment to a defined role. From here, you can select categories by clicking on them, and using the ">" arrow, you can hide categories on the iPad, or using the ">>" arrows, you can perform the same action in bulk.
Locked
In this section, only the categories assigned to the defined role are displayed. From here, you can reduce them by clicking on them with the "<" arrow, returning them to the previous list, or using the "<<" arrows to remove all assigned categories.
Save
Once the categories are assigned to the role, click save and you can exit this section.
