Using the POS every day - open an order, add or remove items, send to the kitchen, charge and print a quote

Applies to Invu POS 6.10.6 on iPad, Android and Windows. Labels are shown as they appear when the POS and the Admin Panel are in English (permission names come from the panel). What each employee can do depends on their role's permissions (see "Users, employees and POS Roles - access, PINs and permissions").

Most important:

  • The normal flow is: open the order > add items > send to the kitchen > pre-check (if the customer asks) > Pay Order > charge. Once paid, the order closes by itself.
  • If a PIN screen appears when you tap a button, the logged-in employee lacks that permission: a manager can approve with their PIN.
  • If the PIN screen shakes, that PIN does not have the permission. Check the role in the panel and run Update Data.

1. Open an order

  • Quick service or retail: on the main screen tap New Order. For another order type (for example, take-out or delivery), tap Other Types and choose the type.
  • Restaurant with tables: tap a free table and its order opens. If the table is occupied, tapping it opens its order.
  • To go back to an existing order, tap it in the Open tab.

To open orders, the role needs Add Order. If you do not see New Order or Other Types, the role is missing Allow New Order and Type Buttons. Opening with another order type asks for Allow New Order with Different Type (or Add Order).

To change the table or order type later: Invu logo > Options > Change Table or Change Order Type. More in "Tables and order types - floor plan, open, move and join tables on the POS, and set up order types".

Venezuela: if you see "Have open orders with 48 hours of opened…", close or delete those orders before opening another.

2. Add, change and remove items

  • Add: tap the product in the menu. If it has required modifiers, choose the options. You can also scan its barcode.
  • Change or check an item: tap it in the order. There you find, among others, Edit Quantity, Copy Item, Add Description (a note for the kitchen) and Add Discount.
  • Remove an item: tap it and choose Remove. If it was already sent to the kitchen or the pre-check was printed, the POS asks for a reason and an extra permission. The cases are in "Delete an order, close an order at zero and why the POS will not let me close the bill".

Changing the quantity asks for Allow Editing Order Before Sending to Kitchen or, if the item was already sent, Allow Editing Quantity After Sending to Kitchen.

3. Send to the kitchen

  1. Tap the send-to-kitchen button, the circle in the order bar. The number on it is how many items are still pending.
  2. Enter the PIN if asked.
  3. If the order has courses (starters, mains…), choose which one to send or All times. If the order is split, choose the account.
  • What was already sent does not print again. To reprint the kitchen ticket, press and hold the send-to-kitchen button and confirm "Do you want to reprint the kitchen tickets?" (permission Allow Reprinting Sent Kitchen Tickets).
  • Your business can make the kitchen ticket print automatically when leaving the order, printing the pre-check or closing the order. See "Set up printers and kitchen tickets - what each printer prints, pre-check, KDS and reprinting".

The POS will not let me send to the kitchen:

  • A PIN appears or the screen shakes: the role lacks the send permission. In the panel it is called Send Kitchen Ticket on Close, although it allows sending at any time.
  • I tap the button and nothing happens: there are no pending items (the button has no number). If a product never counts as sent, it has no printer assigned.
  • "Kitchen Ticket is being printed. Do you want print anyway?": a send is in progress. Wait a few seconds before tapping Yes, so the ticket does not print twice.
  • A printer error appears or the ticket does not print: see "The printer does not print kitchen tickets or invoices - how to check it".

4. Pre-check

  • Tap the Invu logo > Options > Print Pre-account (or Pre-check without prices). The payment screen has these buttons too.
  • It asks for Print Pre-bill. If items are still pending for the kitchen, it also asks for Allow Printing Pre-bill with Pending Kitchen Items.
  • For the pre-check of each account in a split order, see "Split the bill on the POS - equally, by items or by diner, and charge each account".

5. Charge and close the order

  1. Tap Pay Order.
  2. Choose the method (Cash, Debit, Credit or Other) and the amount: Full or Partial.
  3. When the total is paid, the order closes and the invoice prints. If you charged in parts, it closes with the last payment.
  4. If the order is at 0, or already paid and still open, tap Close Invoice.
  • To go back to the order without charging, tap Edit Order.
  • Pay Order requires Allow Viewing iPad Payment Button; without it, Pre-check shows instead. Charging requires Allow Applying Payment Methods.
  • Card terminals, voiding a payment and payment types: see "Payment types and card terminals - set them up, charge, void a payment and run the batch settlement".
  • Tips: see "Tips and employee clock-in - set up, charge, assign to the waiter and review hours".
  • If something must be refunded later: see "Issue a credit note (refund) for a closed sale".

6. Print a quote

A quote shows the customer the detail and total of an open order without charging it.

  1. Open the order with the quoted items.
  2. Tap the Invu logo > Options > Print Quotation. If the order is split, choose the account.
  3. Enter the PIN of an employee with Allow Printing Quote.
  4. Choose how to deliver it:
    • Pre-check: prints it on the pre-check printer.
    • Email: sends it to the email of the order's customer. If the order has no customer with an email, you see "Customer and email is required".
    • Copy Link: copies a link to paste, for example, in WhatsApp.
    • Browser: opens the quote in the browser.

The option only appears on open orders with items. The order stays open: if the customer accepts, charge it as usual. If not, delete it.

7. When to contact support

Write to us if, after checking the permissions and running Update Data, the POS still will not let you open orders, send to the kitchen or charge. Send:

  • the POS version (tap the Invu logo once and look at the menu title);
  • the employee's name and role;
  • the order number and a photo of the message, if any.
