Applies to Invu POS 6.10.6 and the Admin Panel (Reports 2.1) for businesses with electronic invoicing. Labels are shown as they appear when the POS or the panel is in English. Ticket texts are printed in Spanish. The examples are from Panama; differences for other countries are at the end.
Key points:
- Invu sales and electronic invoices are not always the same thing. Invu counts every paid order, invoiced or not. The DGI only sees the invoices that your invoicing provider (PAC) authorized and sent to it.
- The most common cause is orders without an invoice: pending ones (red dot) or orders paid with a payment type that does not issue an invoice.
- To compare, use Reports 2.1 > Closed Orders. Its Invoice column shows which orders have an invoice and which don't.
- A consumer (final customer) invoice can take until the next day to show up in the DGI lookup.
1. Why the totals can differ
Check these causes in order:
- Pending or rejected invoices. The order is paid and closed even if the invoice was not issued (no internet, PAC rejection, customer data). Invu counts that sale, but the DGI won't have it until you retry the invoice.
- Payment types that don't issue invoices. If the order was paid with a payment type that doesn't have Print Tax Invoice checked, the POS closes it without sending it to the PAC. In reports, its invoice number shows as No Fiscal Document. The checkbox is in the panel under Settings > Payment, Discount & Taxes > Payment Types.
- Courtesies (100% discount). An order with a total of 0 is not sent to the PAC. The printed ticket has no CUFE and no QR code.
- Non-sale items. If the order includes a gift card sale or top-up, a non-fiscal deposit or a subscription, no electronic invoice is issued for that order.
- Tips and service charge. In Panama, the electronic invoice includes the items, the discounts and the ITBMS, but not the tip or the service charge. If you compare against a total that includes tips, the DGI will always show less.
- Credit notes. In Invu reports, a credit note is subtracted on the day it is made, not on the day of the sale. For the DGI it is a separate document. If the credit note is pending, Invu subtracts it but the DGI doesn't have it.
- Different dates and times. Invu reports use your business day, which ends at your business closing time. The DGI uses each invoice's issue date. Late-night sales can fall on different days.
- Devices that haven't uploaded. If a POS was offline, the panel won't have its orders until it syncs.
2. Which report to use
- Reports 2.1 > Sales > Closed Orders: lists each order with its Invoice column, credit notes as negatives, and Tips in a separate column from Total. Export to Excel and filter the orders with no invoice number or with No Fiscal Document.
- Reports 2.1 > Special > DGI 1027 (Panama only): lists the orders that have an invoice number, with credit notes as negatives. It is the closest match to what should be in the DGI.
- Reports 2.1 > Total Sales > By Register: the + on each register shows its orders, and the ones without an invoice show Sin Factura.
- Careful with "Total Invoiced" on the panel Dashboard: despite the name, it adds up every paid order (with or without an electronic invoice) and subtracts credit notes. It is not the total sent to the DGI.
To compare correctly:
- Use the same date range in Invu and in the DGI or your PAC portal.
- Compare without tips: use the Total column, not the total collected.
- Set aside the orders without an invoice. Their sum is usually the difference.
- Check the credit notes for the period on both sides.
3. If there are orders without an invoice
- On the POS, tap the Invu logo > System Reports > Close Day Report. The … orders not invoiced card counts the closed orders without an invoice, including earlier days.
- Retry those invoices while you have internet. The steps are in the article "Mi factura electrónica quedó pendiente o fue rechazada - cómo reintentarla y corregirla". Retrying does not duplicate the invoice.
- For pending credit notes, see "Hacer una nota de crédito (devolución) de una venta cerrada", section "La nota de crédito quedó pendiente".
- Orders with No Fiscal Document can't be retried as electronic invoices because they were paid with a payment type set not to invoice. If that wasn't intended, check Print Tax Invoice on that payment type for future sales.
4. "It has a CUFE but doesn't show in the DGI"
- If the ticket has a CUFE and a QR code, the PAC authorized the invoice. Invu's part is done.
- On consumer invoices, the Panama ticket says "CAFE de emisión previa, transmisión para la DIRECCIÓN GENERAL DE INGRESOS hasta" followed by the next day's date at 23:59:59. Until then, it is normal for the DGI lookup not to show it yet.
- If that time has passed and it still doesn't show, look up the invoice in your PAC portal. If it shows as authorized there but not transmitted, the PAC has to review it. You can also write to us and we'll check it with you.
- An invoice without a CUFE or QR code was not issued. Check whether the order has the red dot, and retry the invoice.
Differences by country
- The idea is the same everywhere: Invu counts every paid order, and the tax authority (DIAN, SAT, Hacienda, DGII, SUNAT, SENIAT) only sees the documents the provider issued.
- The DGI 1027 report and the next-day transmission notice are Panama only.
- In Peru, a 100% discount order can be invoiced if 100% Fiscal Discount? is on. On the Dashboard, Total Invoiced also includes the service charge (RC).
- Don't add up sales from different countries. Compare each country in its own currency.
When to contact support
Write to us if a difference remains after you retry the pending invoices. Send:
- the date range and the branch;
- the Closed Orders Excel export for that range;
- the total shown in the DGI or the PAC portal for the same range;
- the order numbers or CUFEs that don't show up, with a photo of the ticket.
